Custom software or a ready-made platform?

Choose around the work your business needs to do. An existing platform can be a good fit for standard processes; a custom build needs a clear reason, a defined scope and a plan for maintenance.

Map one real workflow first

Take a common task from start to finish: receiving a booking, assigning a team, collecting approval or updating stock. Note who participates, what information they need and where delays occur. Use that same example to assess an existing platform and a proposed custom system. A feature checklist alone may miss the handoffs that make daily work difficult.

Test what an existing platform already handles

A ready-made service may cover most of the workflow and provide regular updates. Check its actual permissions, export options, pricing tiers and integration limits before committing. Ask whether a small configuration change or a separate integration would solve the gap. A custom build should address meaningful requirements that cannot be met economically by the available arrangement.

Define what really needs to be custom

Separate essential business rules from preferences about screen layout. Custom software can combine workflows or data models that are specific to your operation, but each additional rule must be designed, tested and maintained. Start with one coherent workflow rather than a long list of disconnected features. Record what the first release will deliberately leave for a later stage.

Compare the full operating responsibility

With a subscription platform, ask about price changes, account limits, data export, support and service continuity. With custom software, identify who handles hosting, updates, backups, monitoring and access management. Confirm ownership of source code and deployment accounts. Both options need a responsible owner inside the business; neither removes the need to train staff and review access.

Plan data migration and acceptance

List the records you need to move, their condition and the system they come from. Agree how duplicates and incomplete information will be handled. Define a few real scenarios for acceptance, such as creating a booking, changing an assignment, issuing a report and exporting records. Test with representative data that is appropriate to share, rather than sending customer records in an initial enquiry.

Use a phased decision

You may be able to keep a useful platform and add a focused integration before considering replacement. Alternatively, a small custom pilot can establish whether the workflow is understood before a larger build. Tell NeXuS which tools you use, where the process breaks down and what a successful first release would change. We can discuss a practical scope without assuming a complete replacement is necessary.
